Most of our rental house owners accept pets with an additional refundable deposit (on average they are $350). Please check with the city to see if your breed is accepted before signing a lease.
Pets must be authorized by the owner through Key Partners PM. You will need to contact us and obtain written permission for a pet. There is a refundable pet deposit required, and the size and type of pet is subject to owner approval. Breed restrictions are per city. We also do not allow PUPPIES AND KITTENS LESS THAN 1 YEAR OLD. Other pet restrictions may apply and are subject to change at any time.
It can take as little as two days to several more. We verify employment, rental history, and credit. If you are starting a new position, it will help speed your application along if you furnish us a copy of your employment offer letter. PLEASE make sure the rental house application is complete. Include the following:
• Your COMPLETE address with city, state and zip code
• daytime telephone number for your landlord
• copies of payroll check stubs or letter of commitment for a new job.
Whether the application is approved or not, the application fees are non-refundable. We do not approve applications on a first come, first serve basis. Approved applications are valid for 30 days. The entire first month’s rent is due in certified funds on your move in date.
We want our houses to be clean and to generally look freshly painted. However, our properties are not painted between every renter. If you view a property where you would like to have specific things done, please be sure to include those in your lease offer. We do require the rental house owner to have the home and carpets professionally cleaned prior to move in.
Our leases are typically one year. During winter months we structure our leases to expire during the spring.
In most properties, the renter pays the utilities. About 30% of the time the trash pickup is included in the rent.
The minimum security deposit is the equivalent of one month’s rent. Deposits for pets can be up to one-half of one month’s rent. All are refundable.
One month of rent, the security deposit, deposit for pet and any short-term lease fees will all have to be paid in full prior to you receiving keys for the rental house.
If you have good rental history and good credit, a lot of owners will be flexible, depending on lease terms. We will work with you to obtain the best possible price for your rental house.
Once all parties sign the lease you are legally bound to the terms. If you want to leave the lease early, most owners will allow us and/or you to re-market the home. Once the owner approves another qualified renter you will be released from the rental payments. You will be responsible for any marketing charges the owner has incurred promoting the rental house. Please see lease for important details.
Usually yes. If there is no pre-existing cable or satellite equipment at the property you must first obtain permission from the owner through Key Partners PM. At some condos/town homes/duplexes you may be prohibited from installing a satellite dish in any location where the dish is visible from the ground or from any other unit in the area. (per HOA restrictions). Installations shall be done by a professional, and the cost of installation or damages to the property caused by installation is the responsibility of the tenant.
Rent payments are due on the first of the month. If your rent is returned or your rent payment is not otherwise received in our office by the first day of the month, your rent will be considered “Late”. Late fees will apply for rents not received by the 1st of the month. It takes 72 hours to clear making the payment “posted” on the third. For returns, a late/collections fee will be applied to your account. Without prompt communication after a “Late” payment, the eviction process could begin at any time. The tenant will be held responsible for all eviction, court filing, attorney, and collection costs resulting from late payments as allowed by law.
Your lease will require a minimum 60 day notice. Notices received during a month, will be considered received at the end of a calendar month.
Yes. If you are interested in painting or changing colors, or installing any interior or exterior fixtures, per your Lease agreement you must first obtain written authorization from the owner through Key Partners PM before making any changes.
Key Partners PM charges a $5 per month accounting fee that shall be applied and collected with each month’s rent to cover the administrative costs of accounting, your online software, the after hours emergency assistance, etc. $2 will be paid directly to buildium.com as you pay rent and $3 will be added to rent and paid directly to Key Partners PM with rent.
We understand that there are times when fulfilling your lease terms can be difficult, but you are legally obligated for the full amount of your rental payments whether or not you reside in the residence. The lease does not offer a “lease break” option. However, with owner permission, we have one alternative that may work for you.
If you agree to continue with rental payments and all other lease obligations, such as utilities and yard care, we will advertise, screen and take care of all admin work to find a new tenant.
Once we have a qualified tenant approved by the owner we will release you from the lease and give you a good rental reference provided the home passes inspection.
We will refund any deposit due to you after the inspection, less the marketing costs paid by the owner to procure your lease (which are considered damages under landlord tenant law). We will be happy to give you an approximate dollar amount that will be due to the owner for your situation. Please refer to your lease for any other fees or obligations.
Yes, if tenant damage or negligence causes the maintenance problem, you will be charged for it. Also, you can be billed for a service call if you miss a scheduled appointment with one of our contractors.
No. The lease agreement does not allow for any type of sublease. You may not operate a business out of your rental home (including but not limited to providing daycare services, sales, business storage, or other non-residential business activities) without prior authorization from the owner through Key Partners PM.
No. Your lease agreement and provides that all carpets must be professionally cleaned and receipt provided.
If a roommate moves out, a written notice needs to be submitted to Key Partners PM. Remember that tenants are jointly and singularly liable to ensure that the full rent is paid. You must have written permission to substitute a roommate. Only approved tenants can occupy the property as a resident. A departing roommate will still be responsible under the lease unless released from this obligation in writing by the owner Key Partners PM. If you want to add someone to the lease, the individual must complete a rental application and be fully screened before moving into the property. There is an application fee of $35 per adult, and a lease amendment fee of $100 for coordinating and administratively amending the lease to add a roommate.
Reimbursements to departing tenants are handled by the remaining tenants. No part of the security deposit will be refunded individually by Key Partners PM. All security deposits will be dispersed only at the end of the tenancy.
Key Partners PM cannot waive late charges. Fair Housing laws and good business ethics require that we treat all of our residents equally. Key Partners PM does not decide if one resident is more deserving than another of paying late charges. We enforce late charges equally to all tenants across the board.

This story illustrates the main reason: A client whose insurance company would not add the Realty Property Management company as an additional insured had a tenant bring a lawsuit related to mold. The Realty Property Management’s insurance company defended them and the property owners insurance company defended the owner. The case was settled for a token amount but the Realty Property Management insurance company’s cost of defense was about $20,000. The Realty Property Management’s insurance company is now going after the owner to get reimbursed. This owner is still a client with the Property Management company, but he is mad at his insurance company for refusing to protect him in this case. If his insurance company had added the Realty Property Management Company as an additional insured then they would have defended both of them at the same time and the owner would not have to pay the insurance company’s legal fees to defend what was a frivolous claim.

Application for Renting a Home

Step One-Apply: To begin the process of applying for one of our rental listings in Kansas City, please click here . After you fill out the application, we will receive notification. Each adult must fill out a separate application. If something doesn’t apply (ie, if you do not need a cosigner) just put NA in the box. A spouse is not considered a cosigner. If you are not the only adult living in the home we will need two separate applications because the owners require credit and background checks on all adults. The minimum income requirement is 3 x the amount of rent. Owners make the final decisions on approvals based on credit history, rental history, income and background checks. There MUST be different email addresses for each applicant for security and privacy reasons (even if married). Application fees are non-refundable.
Step Two-Pay: Upon completing your application, click ‘Save and enter payment’. There you will be able to make a payment for your credit and background check. If you choose the eCheck option, there is only a $2 charge. Please have your checking account and routing number from your check handy for payment.
Step Three-Submit: Once paid and we receive confirmation, each adult occupant will then receive an email request from MySmartMove.com to complete the credit and background check.
You will receive a separate email from smart move with this request (If you do not; PLEASE check to see if your email in your application is correct and has no typo’s. It may also be in your Spam folder).

We must have rental history and employment verification to move forward. If you don’t have rental history, please make sure that information is on your application.
Step Four-Rental History: Print and sign the Request for Rental Information and present this to your prior landlords for completion. This form must be signed and have current contact information from the landlord. Once completed by them, send to us by fax or email. We must have this to get owner approval. This is required for all prior rental history for the past two years
Step Five-Employment Verification: Once the application process is completed please email or fax a copy of your last two pay stubs or the first two pages of the last 2 years tax returns if self-employed to verify income/employment.
Step Six– Once approved, provide Social Security #, bank info and authorization for deposit return by direct deposit through the secure site, Docusign.net (necessary for move in access).
After completing, your application and sign the lease, we submit the “final” terms to the owner/s for their approval. Once we have it, we will sign the lease and you will have a copy in your email. After the lease is executed (signed by all parties) it is a legal document that binds all parties to the lease terms. Once signed, you will be responsible for all rent and other terms in the lease. We cannot stop marketing the home for rent until the lease has been signed and you have paid the deposit.

General Information:
Information about your background and credit check with MySmartMove.com
We use SmartMove to streamline the rental process and make moving in faster and easier. Tied in with TransUnion (a credit reporting agency that safely houses data for approximately 500 million people worldwide), SmartMove also gives you the ability to apply for a lease while protecting your personal information. SmartMove (AKA TransUnion) will generate your reports without disclosing your personal identification and account numbers, and with a much quicker turnout time. Plus, when you use SmartMove your credit score will not be impacted. Unlike when a lender or landlord retrieves your information, SmartMove lets you be the one to initiate the request for your own file to be sent and is seen as a ‘soft hit’ on your credit history.
After you receive an email link from Key Partners Property Management via SmartMove, you’ll need to create a secure account and then review the landlord’s requests. This is basically giving an OK to the landlord to have SmartMove run background checks to ensure you’re a good fit for the property.
SmartMove will verify your identity and provide the landlord with a leasing recommendation, your credit report and criminal history – yet without your personal identification and account numbers.
Lease Agreement & Deposits, Rent and Fees
Once you have submitted your request and completed the process via SmartMove, you will receive a lease by email. Please have all parties listed on the lease provide an electronic signature, there will be no need to print or fax any paperwork for the lease.
Upon signing the lease, and after owner approval, deposit and/or rent is due.
Deposits, Rent & Fees for Rental Properties
The refundable security deposit for any of our rental homes is one month’s rent. Payment is due at the least signing. Per state law, it cannot be used as your last month’s rent payment.
Your entire first month’s rent is due *in full 4-5 business days before your move-in date. Your second month’s rent will be pro-rated if you move in after the 1st of the month.
Rent is late after the first of the month. It takes 3 days to process rent electronically. In your rental account as a renter, you will see a box that says rent is late after the 5th. This is a default note in our software that cannot be changed, please disregard this note.
Any leases less than 12 months will be subject to a $100 short-term fee.
Required Property Damage Liability Insurance: All Tenants are required to maintain property damage liability insurance on behalf of the Landlord and Property Manager. Coverage is required in the amount of One Hundred Thousand Dollars ($100,000.00) for damage to both Landlord’s and third parties’ property with the provisions covering at least the perils of fire, smoke, explosion, accidental water discharge and sewer backup. Cost is $15.75 per month, per home. Tenants are required to carry Tenant Liability Insurance.
Application Processing and Time Frame:
Processing an application normally takes between 1-5 business days. You will be contacted immediately upon determination of approval or denial. All adult applicants over the age of 18 must submit a fully completed, dated and signed rental application and have paid the application fee. Proof of all income must be submitted by fax or email, concurrent with your application. Your application will be initiated, and your application fee will be processed, but your application will not be completed or considered complete until we receive proof of income, or can verify income. Your application fee is non-refundable once an application has been initiated.
Cost:
If you decide to apply to rent one of our properties, there is a $45.00 per adult application fee that is non-refundable, and is paid when the application is initiated. Incomplete applications or applications submitted without the proper application fees will not be considered.
The Application:
Upon receipt of your rental application and application fee, Applicant states that they have received and reviewed Key Partners Property Management’s Rental Acceptance Guidelines, and has had an opportunity to inspect the property. We would encourage you not to apply if you have bad credit not associated with an isolated event such as a foreclosure or medical issue; bad references; have ever been evicted in the past or have a criminal record (except driving citations). Cosigners may be considered on an individual case by case basis once an application has been processed. Cosigners must also apply, and indicate on the application who and for which property they are applying for as a cosigner. Applicant agrees that false, misleading or misrepresented information may result in the application being rejected, or be grounds for immediate eviction with loss of all deposits and any other penalties as provided by the Lease Agreement. Applicant understands and agrees that he/she has only applied for tenancy. Other prospective residents may also have applied. This form is not a lease, but an application and offer to lease which may be accepted or rejected by Owner/Management.
Notification: Notification: In order to hold the home, once you have been notified of your approval, you must immediately place a lease deposit, equal to at least one month’s rent, with Key Partners Property Management. Once your Application is approved and payment of the deposit is paid, your deposit is non-refundable. Due to the high demand for rental homes, we will NOT take the property off the rental market unless you provide the required deposit. If you do not comply with this requirement, we will continue to accept additional Applications, and may rent the home you applied for to someone else immediately.
Applicant understands and agrees the properties are rented in “AS-IS” condition before an application can be accepted, except where there is prior written agreement for maintenance, repair, or other improvements. Any such maintenance, repair, or improvements requested (if any) must be written and included with your application, or agreed to in writing prior to applying for the property. If your maintenance, repair, or improvements are acceptable to Owner/Management, then that agreement will be written in the lease or lease addendum.
ALL LEASE AGREEMENTS SHALL BE IN WRITING, NO VERBAL REPRESENTATIONS SHALL BE ALLOWED OR ACCEPTED. In the event that Key Partners Property Management shall receive two or more unrelated applications for the same property, the applicant understands the manager will process applications and the owner will select the first applicant that meets ALL of the screening criteria, and the above application requirements and accepts the property in “AS-IS” condition.
Keys will be furnished only after the lease and other rental documents have been properly executed by all parties and only after applicable rents, security deposits, and other fees have been paid. Applicant understands and agrees that he/she has only applied for tenancy. Other prospective residents may also have applied. This form is not a lease, but an application and offer to lease which may be accepted or rejected by Owner/Management. This application is preliminary based upon the current expected availability of the unit, and in no way obligates Owner/Management to execute a lease or deliver possession of the proposed premises.
All initial funds, the first month’s rent and security deposit must be paid through https://npmgroup.managebuilding.com/. ALL Subsequent RENTS or FEES thereafter will be paid via https://npmgroup.managebuilding.com/Resident/apps/rentalapp/. Any damages, cleaning, or other fees shall be applied from the security deposit per State Statute. Key Partners Property Management is an Agent for the Owner.
Other Issues:
Pets can be permitted in a property and are determined by the owner. Please check our website or confirm with the leasing agent what pets are acceptable for the property you are applying for. There will be a $350 pet deposit per pet, *of which is $50 is non refundable. Some properties may require higher pet deposit depending on the number and type of pets. If a higher pet deposit or rent amount is required, you will be notified at the time of the lease offer. Please check with your city for breed restrictions. PUPPIES AND KITTENS LESS THAN 1 YEAR OLD are not allowed. Other pet restrictions may apply and are subject to change at any time. Pet fees are $10 per month (per pet).
Rents quoted are the rental amounts due if paid on time. Tenants are also responsible for all consumables, and all utilities including trash and water (which may be required to be in the owner’s name, but which will be billed back to the tenant). Sometimes some of these services are included with HOA associations. Monthly rent payments are paid through https://npmgroup.managebuilding.com
Keys will be released on the first (1st) day of occupancy as stated in the lease agreement. Request for keys earlier must be accompanied with additional pro-rated rent and must have Owners/Managements prior approval.
If your application is approved, but not the approved one for the property for which you are applying, you may consider applying for other available properties that we may have, without payment of an additional application fee.

SmartMove will verify your identity and provide the landlord with a leasing recommendation, your credit report and criminal history – yet without your personal identification and account numbers.
Move-In Inspections
Move-in inspections are done at the rental property prior to your move to verify the condition of the property. We will be looking at the general condition of the home, both inside and outside. We take notes of the property before occupancy.
We will also conduct a move-out inspection after you have vacated the property. If the property is in good condition and has been well kept without any problem areas (that weren’t noted in the move-in inspection), you will receive a full refund of your deposit. We do our best to coach you on how to get a full refund.
Utilities In your Rental Property
It is your responsibility to notify utility companies upon your move-in date. Key Partners Property Management does not take responsibility for transferring the utilities into your name.
Upon move-out, do not disconnect the utilities, simply take them out of your name.
Renter’s Insurance
The renter is responsible for insurance to cover the contents of the home. This is available through your insurance agent. Some owners require “pet insurance” also. For more information on renter’s insurance, see our Renter’s FAQs.
Renters Maintenance Responsibilities
It is the renter’s responsibility to mow and maintain the lawn unless otherwise stated in your lease agreement. You will also be responsible for changing the furnace filters every three months, changing light bulbs, smoke detector batteries and general day to day maintenance.
Note: Please be aware that all homes will continue to be shown to prospective tenants and applications accepted until the owner approves a lease offer, a deposit has been paid and a lease signed by all parties. Application fees are non-refundable.
· Rush move in fee is $50. (anything under 4 days between lease signing and move in)
· After Hours Move in: $50 (Key availability/move-in times are Mon-Friday 9 to 5 pm.) We will have different options available to you for key pick up.
· Changing the move in date $25.00
(The reason for the extra fee is that any changes require extra administrative time and/or overtime costs)

We appreciate your interest in our available homes for lease offered by Carolinas Metro Realty. In order to qualify for one of our rental properties, you must submit a rental application. The rental application must be completed by each person age 18 years and older who will occupy the property. Applicants are required to complete the application in its entirety and submit all specified documents.
Leases are granted on a first-approved application basis. CMR will process your application and notify you if you qualify to lease the desired property. Allow two business days for the rental application to be processed. If any additional information is needed a representative will contact you.
Carolinas Metro Realty does not guarantee the availability of any property and will not reserve or hold property. All our properties will remain available for lease until a holding fee has been remitted and a lease document is signed.
CMR performs background examinations that include, but are not limited to, the following: credit score; employment verification; criminal records and rental history.
PETSCREENING IS A PART OF THE APPLICATION PROCESS FOR ALL APPLICANTS.
A welcoming environment is paramount to all of our residents. To help ensure ALL of our residents understand our pet and animal-related policies, we use a third-party screening service and require everyone to complete a pet profile, a “no pet” profile, or request accommodation for an assistance animal. This process ensures we have formalized pet and animal-related policy acknowledgments and more accurate records to create greater mutual accountability. If you are unable to complete a profile online and need help please contact your housing provider.
